Manage Approval Chains
Note: To access this page, you need to have the Manage Approval Chains permission set.
Select the Manage Approval Chains section to see a list of the approval chains that have already been set up.
To add a new approval chain, select Add a New Chain. The New Approval Chain window opens, as is partially shown below:

Enter the name for the new approval chain.

Select the Add Users option.

When this option is chosen, then the following occurs:

A slide-out window displays a list of users with the Manage approvals permission. The list shows the approvers' name and their email addresses.

Select the relevant approvers from the list. Each approver you select will be added as a step to the approval chain. After the selection of multiple approvers, you can reorder these by using the grab handles.
- Click Create. The approval chain is created.
Note: To apply an approval chain to an asset, the chain must be selected either when the asset is created or edited. To learn how to assign an approval chain to an asset, read Editing Assets.
Once created, an Approval Chain can be edited, or deleted using the familiar icons.
Removing an approver from a chain
If you edit an approval chain and delete an approver, all orders currently awaiting approval by this person will be automatically approved and moved to the next step down the chain. If there is another approver in the chain, the orders will be moved to that person. However, if there are no further approvers in the chain (because you removed the last person in the chain), then the order will be automatically approved and delivered as configured.
When you remove an approver, the following warning appears:
Select Yes if you want to remove this approver.
Select No if you do not wish to delete the approver from the chain.
Using Dynamic Approval Steps
Dynamic Approval Steps use logic to validate whether an ordered design meets the "conditions" criteria and automatically assign this to one or more approvers who meet the "members" criteria.

Select the Manage Approval Chains section to see a list of the approval chains that have already been set up.

For the approval chain you want to edit, select the Edit option on the approval chain by clicking the pencil icon.

Or choose the Add Step option. The Add Step window opens.

In Conditions enter the appropriate logic statements:
- These are applied to the submitted order to decide if the Approval step is applicable. It is possible to test any property or attribute of the order, including details of the user submitting it or the answers entered to questions during the configuration.
- In Members enter the appropriate logic statements:
- These are applied to the User base to decide who are the Approvers of the order at this step. It is possible to test any property or attribute of a user, including comparing and matching attributes against the user who submitted the order.
- If relevant, select the Ordering Users Choice checkbox:
- When this option is enabled, select the checkbox if the user is to choose the approver from a drop-down list of Approvers. Note: When this option is used, then the members option is hidden.
- Select Save
The conditions of the approval step are now updated.
