Creating a new Role

  1. To create a new Role, click the Add Role button. The New Role window opens, as shown below:

  2. Enter the Name of the role (required), followed by the SSO key.

Note: If users are to be created when they access Brandgility for the first time, then it is possible to assign them with an appropriate role by providing an SSO key (contact Elateral for further details on how to do this).

  1. Optional: If using the new Home Page/Sub Page functionality, then in Home Page Override, select one of your pages to be this role's home page.

When a user with this role accesses the application or selects the home option, your selection will override the default Brandgility home page. Read about managing pages and sub pages

Note: If the new Home Page/Sub Page functionality is not enabled, then the Home Page Override field is not available to be set.

  1. If the Multi Role functionality is enabled, then select the Role Group to assign a role to a specific role group. For more details on role groups, see Managing Role Groups.

  2. Select the User Type to assign a role to a specific type of a user. Note: Based on the type of a user, Brandgility allows access to different areas and functionalities of the system. For example, when you select System user, it means that a role is specific to this type of a user only, and not applicable to any other type of a user, such as the Customer or Partner user. By default, the System user is the standard Brandgility user type.

  3. Select the Permissions option from the left side menu. A new window opens.

  4. Select the permissions that are relevant for your new role. Note: To allow end users to download static items and manage their downloads, give their role the Can Download Content permission.

Note: The User Content section allows end users to manage specific library asset types. The Asset Types are listed with a checkbox against each. If an Asset Type is checked then all end users with this role can create and edit assets of this asset type. Additionally, if they configure a template with an asset picker, they may be able to edit the details of assets of this type.

The main purpose of this permission is to give end users the ability to manage customer and outlet details (stored as library assets).

The User Content Asset type setting does not behave in the same way as the other Admin permissions and does not require the assignment of admin privileges on the access control option. End users do not see assets of the enabled asset types on the search page, they are only visible via an appropriate asset picker on the configure template page.

  1. In the Reports section, select the report folders that you want to give this role access to. All reports within the selected folder will be made available to the user with this role.

  2. Next, assign the level of access to the Access Control Attributes.

Note: The access control attributes which appear in the role is defined in Manage Attributes, by setting the "Use for Access Control" checkbox. This is available for any List or Country attribute.

Typically, only the key attributes (used to identify different types of content), should be set this way.

For each access control attribute on a role select from the following options (View, Use or Admin):

UseThe user can view, configure and save content assigned with this attribute and order these items via their cart.
AdminIf the role has the Manage Campaigns and/or Manage Assets
permission, then the Admin level access control setting is made available to be set.
The user can create, edit, remove content items, plus change the status, assign attribute values and modify the details of any content assigned with this attribute.

Note: Some permissions and access control options on a role are linked. For example:

  • If you grant Manage Approval Chains permission, then Manage

    Approvals is automatically assigned.

  • If you grant Use access control, then View is automatically

    assigned.

  1. Finally, click Create. Your new role is now displayed on the Manage Roles page and is available for assignment to a user.

Roles can be edited, copied or deleted using the appropriate icons.
