Managing Attributes
An attribute can be one of the following types: a text, a number, a list, a date, an image or a country. You need to choose your attribute types before you can continue to set up your system.
Note: To access this page, you need to have the Manage Attributes permission set.
To start working with attributes, select My Account followed by Manage Attributes.
The Manage Attributes page opens and lists the standard system attributes: Location and address.
To add an attribute:
- Click the Add Attribute in the top right corner. The New Attribute window opens, as shown below:

Enter the attribute Name and select the relevant Attribute Type from the drop-down list. You can also add an optional text description.

The Options box opens:
Options | Description |

Use for Filtering | If set, then this attribute will appear as a filter option on the search page for any Content type it is assigned to. The attribute will also appear as a filter option on a picker search page for assets that the attribute is assigned to. |
Use for Access Control | This is available only for country and list attributes. When this is set, it will add the attribute to all roles. (See Managing Roles) |
Keyword Search | If set, then this attribute will be included in any keyword searches performed, for any Content type it is assigned to. |
Automatically Generate List Values When Used on Assets | This is available only for list attributes. If set, then when you import an asset which has a new list attribute entry, it will automatically add this value into the attribute list (See Importing Assets). |
Use for User Based Access | This is available only for text attributes. If set, and when this attribute is assigned to a user's profile, then the content visible to the user will be further filtered by this text attribute value. |
Note: The Attribute Type determines which options are available.
- Next, set up the details for the attribute.
Attribute: | |

Number type | Choose between Integer and Float. For Integer, enter Min and Max values. For Float, enter Min and Max values and number of decimal places. When using this attribute, the user can enter a numeric value within the range specified. |
Text | When using this attribute, the user can enter a text string. |
Date | When using this attribute, the user can select a date from a calendar. |
List | Setup the list entries for this attribute. These are the values which will be available for selection when using this list attribute. Click to Add root item. A fly-out window appears. Add the name of the list entry and include image(s) if required. Users can continue adding as many entries as needed to build up a list. These can be dragged and dropped into a hierarchical tree structure. When using this attribute, the user can select one or more list entries. |
Country | Setup the list entries for this attribute. These are the values which will be available for selection when using this list attribute. Click to Add root item. A fly-out window appears. Add the name of the list entry and include image(s) if required. Users can continue adding as many entries as needed to build up a list. These can be dragged and dropped into a hierarchical tree structure. When using this attribute, the user can select one or more countries. |
Image | When using this attribute, the user can drop in an image as the value for the attribute. |
- Click Create. Your new attribute now appears on the Manage Attributes page.
From the Manage Attributes page, you can also edit, copy or delete an attribute, using the relevant icons:

For example, if your attribute is an image which has changed, you can simply edit the attribute to update its settings. Please note, however, that an attribute type cannot be changed, as it would not make sense to change an image attribute to a text attribute.
Remember to Save your changes (you may have to scroll up to the top of the screen to access the Save button). You will be prompted to save your changes before leaving this page if you have not done so already.
Note: If you have the Translation option enabled, it is possible to add translations for attribute names and list attribute entries. See section 19.1 for more details.
